MedSIS CBME Module Updates

IN PROGRESS FORMS
Currently there are close to 1000 CBME forms triggered since July 1 however 300 of those are sitting in progress, many of which have been filled out but not submitted.
We’ve noticed many supervisors are completing CBME forms on the trainee’s device as soon as the trainee triggers the form. Please remind trainees and supervisors that the form is still emailed to the supervisor and the supervisor must click the link and submit the form as final sign off.
EMAIL REMINDERS
Notifications for CBME forms are sent immediately. CBME forms are also included in the Wednesday/Friday email that goes out to supervisors with pending evaluations. This notification includes all PG pending evaluations (ITES, WBAs, Activity log forms, CBME forms).
TRAINEES TRIGGERING FORMS FROM DESKTOP – TWO STEP PROCESS
When trainees trigger on demand ITERS or WBAs, they are automatically sent to the supervisor when they click “send”. When trainees trigger CBME forms, there’s an option to make edits and the trainee must then send the form to the supervisor as a second step (same as the mobile). The same screen is used for sending all on-demand forms, with the “send” button at the bottom. Trainees are being lead to believe that the CBME form has been sent once they click the send button when in fact, the form has only been triggered and they still need to send it to the supervisor.
We’re working on developing something that will make it more clear to the trainee what is required of them but for now, if you can forward this information to trainees it might help them.
RECENT MEDSIS UPDATES – IMPACT ON THE MOBILE
Over the past couple of weeks major updates have been made to MedSIS which have temporarily impacted various parts of the system including performance on the desktop and mobile for CBME. We’re working through this and expect the inconsistencies you may be experiencing to diminish over the next couple of weeks. In the meantime, some troubleshooting options for the mobile are:
- If the shortcut on your home screen no longer works please delete it, clear your browser history, and recreate the shortcut.
- If you are accessing the mobile site via your internet browser and it doesn’t look right, clear your browser history and try again
A new version of the mobile application has been made available and any cached data may effect your experience. We’re implementing something that will avoid the user having to recreate shortcuts etc.
EPAs USING ROYAL COLLEGE FORMS 3 AND 4
Form 3 is intended for MSF and Form 4 is intended for narrative use. Neither form as an overall entrustment scale. When looking at EPAs using these forms on the individual trainee progress dashboard, the number of attempts will be displayed but please note, the attempt breakdown will be blank. All of these instances will be treated as an external requirement (as outlined in the previous update) until we implement functionality for calculating/distributing MSF.

NEW DASBHBOARD FUNCTIONALITY: EXTERNAL REQUIREMENTS
You may recall from our one-on-one CBME meetings that some programs have requirements that can not be captured in in MedSIS for various reasons. Some examples are:
- External Requirements: submission of a learning plan, certificate, logbook, etc.
- Advanced Queries: eg. “At least 5 arterial line insertions in a clinical setting.” The contextual variables can be collected in the form however the requirement itself is too complex for the system to calculate when it has been met.
The solution: implement requirements that are manually toggled to indicate the requirement has been met. When toggled to “no” it represents o% complete for that requirement. When toggled to “yes” it represents 100% complete for that requirement. These percentages will feed into the overall EPA completion. These requirements are being created over the next couple of weeks. I will follow up with you when complete.
DASHBOARD: STAGE PROGRESS SPIDER CHART
This graph originally displayed stage progress over time by individual quarterly snapshots (not cumulatively). The graph will be updated to display these quarterly snapshots cumulatively over time.
LEARNER SUMMARY REPORT: TEACHING EVALUATION SUMMARY
In the recent training sessions I mentioned that both clinical teaching faculty evaluations and presenter evaluations were pulled into the summary. Only clinical teaching faculty evaluations are pulled in.
DASHBOARD: STAGE AND EPA STATUSES
In the recent training sessions I also mentioned that Program Directors, Administrators, Committees and Coaches have access to update Stage and EPA statuses to achieved/approved. Academic Coaches DO NOT have access to do this.
USER GUIDES
We are currently working to update current user guides to reflect some of the changes above. We’re also creating trainee specific user guides for the dashboard. I will be in touch when these are available on the website.
